# The Portfolio Project Specs

Three artifacts that prove you can do the work, built from one Stage 3 workflow. Budget one weekend for all three.

## Artifact 1: The Before/After Case Study

**What it is:** One page. The old way, the new way, the difference in numbers.

**Spec:**
- Length: 400–600 words or one PDF page
- Sections: The problem (3 sentences) → The old process (steps + hours) → The workflow I built (steps, tools named, where I review and correct AI output) → Results (time, volume, or quality numbers) → What I'd improve next
- Numbers must be real, from your Stage 3 logs. "Cut prep from 5 hours to 2" beats "saved significant time."
- State plainly what AI did and what you did. Reviewers ask.

**Examples:** A teacher: lesson-material prep, 5 hrs/week → 2. A veteran in transition: maintenance reporting turned into a status-brief workflow, 90 minutes → 25. A nonprofit staffer: donor thank-you letters, 3 hrs/batch → 45 minutes.

## Artifact 2: The Process Document

**What it is:** Your workflow written so a competent stranger could run it. Proves you can systematize and train, not only execute.

**Spec:**
- Length: 1–2 pages
- Sections: Purpose (1 sentence) → Inputs needed → Numbered steps, including the exact prompts you use → Quality checks (what you verify before anything ships, and the errors AI tends to make here) → Time per run
- Test it: hand it to someone else. If they get stuck, fix the doc.

**Examples:** A military spouse documents her job-posting-to-tailored-resume process. An accountant documents the monthly-close memo workflow. A grant writer documents her funder-research brief.

## Artifact 3: The Sample Deliverable

**What it is:** The output itself. The thing a buyer or employer would receive.

**Spec:**
- One complete, polished example of what the workflow produces
- Strip or replace all private data. Use a fictional client if needed and label it as such — never fake a real client
- Pair it with a 2-sentence caption: what it is, how long it takes you to produce

**Examples:** A finished training module. A redacted demand letter. A sample grant-proposal narrative section. A one-page SOP.

## Assembly

- [ ] All three artifacts built from the same workflow
- [ ] Numbers match across all three
- [ ] One person outside your field read them and understood them
- [ ] Exported as PDFs; linked from your resume or LinkedIn
- [ ] One 60-second spoken answer drafted per artifact

Three artifacts from one workflow is the minimum. Two workflows, six artifacts, is a strong portfolio. More than that adds little.
