# The Quarterly Re-Assessment Ritual

A 60-minute worksheet, run four times a year, that keeps your AI workflows matched to your actual job.

**Quarter:** [Q_ / YEAR] **Date run:** [DATE] **Time spent:** [MINUTES]

## Before your first run

- Create a recurring 60-minute calendar block: first business day of each quarter. Do this now.
- Gather: your leverage map (Stage 1), your workflow library (Stages 3-4), and last quarter's copy of this worksheet (skip on the first run).

## Step 1: Re-run the leverage map (20 minutes)

List your most frequent work tasks from the past quarter. Score AI fit 1-5 using your Stage 1 rubric.

| Task | Hours/week | AI fit (1-5) | Last quarter's score | Changed? |
|---|---|---|---|---|
| [TASK 1] | [N] | [N] | [N] | [Y/N] |
| [TASK 2] | [N] | [N] | [N] | [Y/N] |
| [TASK 3] | [N] | [N] | [N] | [Y/N] |
| [TASK 4] | [N] | [N] | [N] | [Y/N] |
| [TASK 5] | [N] | [N] | [N] | [Y/N] |

Add tasks that are new this quarter. Cross out tasks you no longer do. Flag any task whose score moved by 2 or more.

## Step 2: Audit the workflow library (20 minutes)

One row per workflow. Three possible verdicts.

| Workflow | Last used | Output still good? | Verdict |
|---|---|---|---|
| [WORKFLOW 1] | [DATE] | [Y/N] | [Keep / Fix / Retire] |
| [WORKFLOW 2] | [DATE] | [Y/N] | [Keep / Fix / Retire] |
| [WORKFLOW 3] | [DATE] | [Y/N] | [Keep / Fix / Retire] |

Verdict rules:

- **Keep:** used in the last 30 days, output still good.
- **Fix:** output got worse or a step broke, and the fix takes under an hour. Schedule the fix this week: [DATE].
- **Retire:** not used in 90 days, or the fix exceeds an hour. Delete it from the library. Retiring is not failure — it means the task changed or the workflow did its job.

## Step 3: Pick one new workflow (15 minutes)

From the flagged tasks in Step 1, pick the one with the highest hours-per-week times AI-fit score. One only.

- Task it serves: [TASK]
- Workflow to build: [ONE-LINE DESCRIPTION]
- Build session on calendar (90 minutes, within 2 weeks): [DATE]

Build it using the Stage 3 method: draft, test on real work, document the prompt and steps, add to the library.

## Step 4: Log the quarter (5 minutes)

- Workflows kept: [N] Fixed: [N] Retired: [N] New: [N]
- Library total: [N] workflows
- Honest estimate of hours/week the library saves: [N]
- Same estimate last quarter: [N]
- Next re-assessment date: [DATE]

## Rules

1. One new workflow per quarter. A finished workflow beats three half-built ones.
2. If hours-saved drops two quarters in a row, re-do Stage 1 in full next quarter.
3. If nothing changed and the run takes 30 minutes, that is a pass, not a problem.
4. Run it even when busy. Especially when busy — that is when workflows drift.
