Turn meeting notes into checked actions

Turn notes into actions without inventing agreement or owners.

9 min read + 30 min practice · Estimates, not measured times

Before you start

Use lessons 01–02 or equivalent skills before this exercise. You can revisit them from the lesson list.

A browser and text editor. Supplied notes and drafts work offline. Optional live tools must be approved for the data.

Start with the idea

Turn notes into actions without inventing agreement or owners.

Separate decisions, proposals and unassigned work. Record owners and dates only when the notes provide them. Keep the source passages for later review.

Action register: A list of tasks, owners, dates and unresolved assignments.

A made-up teaching example

Jo will inspect a checklist by Friday. Monday launch was discussed but not agreed. A diagram needs an update, but no owner was assigned. These are three different statuses.

Ask yourself

Should the action list treat discussion as a decided launch date?

Show the explanation

No. Keep the proposal separate and leave the diagram owner unknown.

Start with these checks

  • Preserve actual commitments.
  • Keep proposals different from decisions.
  • Do not guess missing owners or dates.

Use the different practice case below and check every requirement in its full instructions.

  • Separate decisions, proposals and questions.
  • Preserve owner and due-date uncertainty.
  • Design a reviewable action register.

The method

Meeting notes often mix agreed decisions, suggestions and incomplete fragments. Use a register with item, type, owner, due date, status and source passage. Ask AI to classify and extract first, then verify against the notes. A neatly populated table is not valuable if missing fields were fabricated.

Keep “owner not assigned” and “date not agreed” explicit. Confirm disputed interpretations with the responsible participants before treating them as commitments. Calendar creation, task assignment and email distribution are subsequent actions with separate permissions. If a meeting tool records people, follow the organization’s actual recording and data rules; these fictional notes need no recording or account.

Choose your model, harness and offline route

Text-only assistant

Use supplied text. Ask for a plan or draft; do not claim browsing, code execution or file access that was unavailable.

Tool-enabled application or harness

Record which tools actually run, allowed files and actions, approval boundaries and observable results. Tools are optional unless the task needs them.

Local or cloud deployment

Inspect inference, retrieval, connectors, logs and storage separately. Use only authorized environments for real data; training fixtures are fictional.

Higher-capability or frontier model

Evaluate the exact task and configuration. Capability does not supply missing evidence or grant permission. No provider ranking or guarantee is implied.

Offline alternative

Use the supplied inputs and inspect the worked example manually. Builder exercises use local deterministic Python. No paid account or live model call is required.

Record the exact product/model label when available, tools actually used, inputs, permitted actions, observed output and checks. Live accounts or APIs may have external costs; they are optional and are not used by this page.

Worked example

Supplied input

Fictional notes: Jo will inspect the checklist by Friday. Team discussed moving launch to Monday, no decision. Someone should update the diagram; owner not assigned.

A checked result

Action: Jo / inspect checklist / Friday. Proposal: Monday launch / not agreed. Open assignment: diagram update / owner and due date unknown. Preserve the three source passages.

Why this works

The extraction avoids converting discussion into a decision or assigning a convenient owner.

Try a different case

Independent notes: Lee agreed to test import on 21 March. Pat suggested removing backup checks; no agreement. A training note needs updating; nobody volunteered. Build the register and a clarification message.

Build the action register

Use the supplied independent case above. Check the bounded decisions, then review your written artifact against the full acceptance criteria.

Everything runs in this browser. No AI model is called and no work is uploaded. Bounded checks cover specific facts and rules. Your writing is not graded: you review it yourself. Practice never marks a lesson complete automatically.

Include source passages, actual dates, unknown fields and questions to resolve them.

Try the task, run the checks, then revise. Checks are teaching feedback, not an instructor grade.

Your steps

  1. Classify each item and copy its evidence.
  2. Leave absent fields explicitly unknown.
  3. Draft two clarification questions without assigning work.

Check your work

  • Lee’s date and task are accurate.
  • Backup-check removal remains a proposal.
  • Training-note ownership is unassigned.
After your attempt: review notes and a common mistake

A common near miss assigns the note to Pat because Pat spoke nearby. The supplied notes contain no such agreement. Preserve uncertainty and request confirmation.

Different wording or a different justified decision can pass. Check your work against every requirement; these notes are not an automated grade.

Explain your approach

How would you detect invented action owners at scale?

Keep your artifact, one correction or decision, its evidence and one remaining limitation. Nothing on this page sends or uploads your work.

Check your understanding

What should an action table do with an absent due date?

Choose an answer to see feedback. This is a knowledge check, not instructor assessment.

Review your independent practice

Complete the supplied task before recording progress. Use the acceptance criteria and reveal the review notes after your attempt. Keep your artifact yourself; nothing is uploaded.

Confirm your self-review

Not yet self-reviewed. Completion stays in this browser and does not issue a badge.
